About the Department

    
Corporate and Business Administration is responsible for a wide range of activities supporting corporate and business unit needs. Activities include administrative support, ancillary support, business resilience and security, corporate real estate, and more. The Business Unit Management area is responsible for coordinating and managing the day-to-day running of a front office or infrastructure or area. Responsibilities may include budgeting and forecasting. May assist in strategic business planning.

Job Responsibilities

  • Provide secretarial and administrative support assisting the Group Function Head
  • Maintain Group Function Head schedule and calendar
  • Assist to arrange meetings for Group Function Head, check invitees’ availabilities, book meeting venues, send out calendar invites and monitor for invitees’ acceptance
  • Liaise with UOB Travel Planner for business trip bookings, including flights, accommodation and ground transportation; raise travel request in Workday for approval
  • Provide admin support for BB Credit and Credit Management teams
  • Onboarding and off-boarding of employees (including full-time/part-time/contract staff etc) in terms of documentation preparation, system access and any other necessary paperwork
  • Coordinate staff leaves (annual, medical, marriage, maternity) especially for one-downs of Group Function Head to ensure adequate cover for absences
  • Preparing, handling and managing corporate documents e.g. printing and filing of decks, documents and reports
  • Maintaining department distribution lists and shared drives 
  • Perform general office duties e.g. monitor/maintain records of fixed assets, office supplies, facility management etc
  • Support for issuance of PR (purchase requisitions) and performing GR (goods receipts) in PEMS system

Job Requirements

  • Highly organized individual with minimum 5 years relevant experience as secretary/personal assistant or similar administrative role
  • Proficient in using Microsoft Office Suite of products such as Microsoft Teams, Word, Excel, Outlook etc
  • Well-developed time management skills
  • Proven ability to work independently and under pressure
  • A flexible approach to work and able to work overtime as required
  • Team player with strong communication and interpersonal skills
