About the Department

The Finance and Corporate Services function manages the financial and administrative needs of the Group to help achieve its business goals.

 

Corporate Real Estate Services

We manage and administer matters relating to real estate on behalf of the Group. These include lease management, facilities management, as well as security and general service matters.

Job Responsibilities

Enterprise Services Category Management 

  • ES categories management as primary category lead for mailroom, local and international courier, transportation, meals/refreshments and as secondary or co-lead for workplace (office and conference suite) hospitality managed services, stationery and printed supplies.
  • Review of demand and services scope, analyse spend data and research industry demand and supply intelligence to devise service delivery framework and build business cases covering the strategic, tactical and operational plans for assigned ES categories
  • Tracking of contract expiries and ensure timely initiation of collaboration with CRES Central Procurement Office to enable effective sourcing activities for assigned categories, ensuring compliance with the Requisition, Procurement and Payment (RPP) Policy and Guidelines, and CRES Procurement Procedures
  • Engage senior management in reviews of category strategies and business cases; collaborate with CPO and relevant stakeholders for approvals of contract awards and contracts execution
     

Enterprise Services Category Operational Delivery

  • Oversight and/ or execution of business-as-usual (BAU) operational activities in an efficient & effective manner that enables operational resiliency, builds positive workplace experience thereby stakeholders’ satisfaction & confidence in IWM and CRES
  • Ensure compliance with the Bank’s cost controlling policies and guidelines by exercising due diligence and oversight on the various workflow stages in the end-to-end procurement to payment processes for controlled Enterprise Services expenditures
  • Ensure accurate & timely expenses charge-out & payments processing (minimize aging outstanding payments and enable accuracy of financial accounting)
  • Contribute to periodic financial activities related to accruals and budgeting of Enterprise Services controlled expenses
  • Drive consistency and enable user self-help/ service, leveraging on digitalization where possible, to reduce CRES intervention in Enterprise Support fulfilment workflows, thereby enabling optimised operational support
  • Establish and maintain category specific procedures, user-guides, product/ services catalogues and channel users to adopt self-help resources on collaboration channels such as intranet
  • On-going monitoring of third party service partners’ performance to ensure consistent delivery of services to agreed service level agreements and budget
  • Collaborate with stakeholders to resolve issues/ incidents related to Enterprise Services delivery in a manner that demonstrates accountability and ownership, and achieves assurance
  • Support Group Environment, Social and Governance (ESG) programme through timely and accurate data analytics to fulfil reporting requirements for Group sustainability-related performance, e.g. volume of electronic assets or paper material channelled to recycling processing
  • Seek opportunities to leverage on third-party vendors’ technologies to enable efficient and accurate data analytics & reporting
  • Work with leadership, collaborate with CRES departments and liaise with the business units to manage expectations on Enterprise Services fulfilment

Job Requirements

  • University graduates in Facilities Management, Business or Change Management
  • At least 8 - 15 years of directly relevant work experience in overseeing general office services operations and preferably with transformation and managerial experience in a large organisation
  • Meticulous attention to detail, appreciation for data integrity and process control due diligence
  • Proficient in common desktop work productivity technologies including Microsoft Office applications, collaboration tools (audio and video conferencing); experience in various other productivity tools would be an advantage
  • Strong critical thinking and problem solving skills with ability to build logical business cases
  • Strong in data analytics and story-telling with competent presentation skills
  • Strong interpersonal and communication skills, ideally with a track record of building and managing a team of outsourced vendors and internal team members.
  • A self-starter with strong adaptability and advocacy for progressive development
  • A team player with strong individual drive, sense of responsibility and task ownership
